View Full Version : Does Xobni purge emails that are no longer there?

When emails arrive, they are on my Exchange server in the Inbox. So I read the email.

Then I move it to a subfolder when I'm done with it, to keep the Inbox clean.

Then those subfolders are archived weekly - removed from Exchange, added to a local PST.

Am I going to have that email show up 3 times in Xobni, once for each place it appeared, especially if I happen to read it in all 3 locations?

The main reason I ask is that I had to reorganize my archives after Xobni had indexed everything (even changing which PSTs a lot of items were stored in).

(don't ask)

Do I need to purge the Xbni database and resync from scratch to eliminate any orphans, or is Xobni taking care of this for me?

I get the same type of issue where my emails that were once stored on the exchange server and indexed are now in my offline PST.

I can search and see the data in xobni; however, when I use xobni to try an open, reply or forward it tells me "This item no longer exists". :confused:

Synchronization does not resolve this issue, either.

Hi all,

Xobni should be detecting when your mail items move between folders, so when you move it from one folder to another (or an archive), Xobni should still only be keeping one copy of the email indexed.

The fact that jonnybiz is seeing "This item no longer exists" is not good, however :(. This means that Xobni lost track of the mail when it was moved for some reason. There may be a bug here somewhere, so I'll put it on our plate to look at.

I´m experiencing the same issue as jonnybiz. When I move mails from the Inbox to a PST I cannot longer open those mails from Xobni. Not even after executing Xobni -> Index all mail.

I´m using Xobni 1.2.3 (build 3771)

Hey folks! I've gone and filed a bug against this behavior, as it shouldn't be working like this! We're hoping to get this fixed in the next major release, but it depends on how difficult it will be to repair.

So, stay patient while we work on this!

I have the same problem when I put an email in a folder.

For a work around, while the bug is being fixed, when I find an email with this problem I refer to the description section at the top of the email where it shows To: From: etc, it also shows "In:" which tells me which folder the email is in. I then retreive the email from the folder manually.

...am having the same problem. I move the file to a .pst folder, then get the message "this item no longer exists" even though it is displayed in the search window.

I am grateful that they are looking at this problem, and hope the fix comes quickly. This is a GREAT program!

Yes, this bug has returned in a recent version. We are still tracking it, and plan to address it as soon as we can.

Tyler, at the same time, would it be possible to add information to the message display to show which folder Xobni thinks the message is in. That would allow us to go to the folder and manually open the mail (or heaven forbid, delete emails...)

This feature already exists. If you select the message in Conversations, then step into the particular message, in the header info we display there will be a tag called "In:", which tells you the name of the folder. You should also be able to use the Open button to open that message (though sometimes you may get this "item missing" error, which we are working to fix), and then you can delete it from there.

having read through the thread i appreciate Xobni rockstars responding to the issue. i am experiencing the same isse and wanted Xobni to know that this issue is widespread.
Would it help if we went into the Xobni folder, deleted the index files and re-indexed the whole thing? Of course this is only a one time solution- the bug will still exist.

In theory that should work, if you're running into this problem frequently. But you're right, it doesn't take care of the solution in the long-term. Hopefully we're close to a fix on this.

It might be useful to have an option that opens the folder the message is contained in, with the message highlighted and centered.

Hi Tyler,

So far, I have only seen Xobni provide the container folder's name, but not the full path. I have many sub-folders with some of the same name, so knowing the full path is helpful to find the actual folder. The full path feature is something I have seen in Microsoft's enhanced Windows search.

If this bug can be fixed, I'd be very willing to try Xobni again.

I get a stupid amount of email every day (750+, don't ask) all of it is legitimate. Each email is read and then deleted if no longer needed. It stays in my deleted items folder for about a day until I get around to moving it down to my PST.

If Xobni can track it's movement across all places then I will be real interested as nothing else I've tried (GDS, Windows Live, Locate32) manages to do this effectively.

My only other concern is how quick Xobni can pull all the information together in the sidebar each time I switch emails. I have over 300k emails archived and with the volume I go through daily I can't afford to spin my wheels waiting for Xobni to catch up as I crank through emails every few seconds (I let them queue up and then read and respond to a bunch at once).

When I search for some emails in Xobni, then try to reply to or open them, a message box appears titled Missing. The message says, "This Item no longer exists." But the item does exist, and resides in a personal folder. I made sure the folder is selected in Xobni Options > Indexing. I even ran Index All Mail. Still, I can't open the email. This happens often enough that I use the Outlook Find instead of Xobni search. Has anyone else hit this? Is there a solution that I'm overlooking?

I recently updated to v. 1.4.3 (build 4249) in hopes of getting rid of the "this item no longer exists" bug... but I am still encountering the same issues.

I hope the Xobni team will be able to resolve this soon, as Xobni has the potential of being a GREAT program IF...

We think we've made a number of fixes for this issue in V1.5, so hang in there just a bit longer.

We totally changed the database structure that we use between V1.4 and V1.5, so we're hoping for far less data related errors in the next version!

Hi, I also have the same issue and I'm wondering if there is any command or way to reset the index in any way? that would be great as rigth now, even if I reindex everythin, deleted mails or moved mails, still appear.

If you're still experiencing this problem, I strongly encourage you to try out Xobni V1.5 which is in pre-release:

Hi All,

The issue the the "In" is that is does not tag the full path to the message, i.e. when you have like me multiple data file with folders and sub-folders.
The only work arround I found was to close outlook, delete the Xobni dir (
D:\Documents and Settings\userXXX\Local Settings\Application Data\Xobni\Default Profile) and restart outlook and the full Xobni indexing that goes with it.

Hope the team find a fix for it, in the next release.

Hello.
I've been using Xobni for most of 2008 and I've been living with the 'item no longer exists' issue for all of that time.

When I encounter the problem I eyeball the date of the email, then go and manually find it in the archive pst file.

I recently reinstalled my PC, and installed the newest Xobni 1.6.3

Mindful of this problem I instructed Xobni to NOT index anything on the exchange server, but only items that have already been moved to my PST archive file.

My expectation was that this would side-step the 'item no longer exists' issue.

However, xobni appears to be indexing the exchange folders, despite them not being ticked in the configuration panel.

As a result, I am still getting the infuriating 'item not found' problem.

In the meantime, I will follow the previous posters advice and delete and recreate the index files.

I dearly hope the xobni people will fix this issue which has plagued an otherwise brilliant piece of software for the best part of a year now!

PS: XP SP2, Outlook 2003 SP3 - Am not using cached exchange mode since I wasn't expecting to be indexing anything other than local PST files.

Edit: My profile doesn't have a: \Documents and Settings\userXXX\Local Settings\Application Data\Xobni\

We are aware that this issue persists on some configurations and are working to resolve this issue.

Please attach an InspectorX report to your next posting if the issue is not resolved.

I've found something else.
I've just moved some emails from the main exchange folder to the archive PST file. Xobni show immediately the right folder into the "In:" field but, as usual, is unable to open the email
