View Full Version : Multiple Exchange Mailboxes in Outlook

Hi Guys,
Just wanting to know if Xobni supports multiple mailboxes for indexing? I have an archive mailbox setup, as well as a mailing lists mailbox, and wanted to know if we can configure Xobni to index these mailboxes. Sorry - don't know if its a bug/feature request :)

I'm not sure if this is the same thing you are asking about but I have multiple PST files (one is used for archiving) in Outlook and each of them seem to be included.

I have multiple exchange accounts, not PST's. Eg: I've setup 3 users on the SBS server, ("real" email, lists + archive account).

Yes, if you're talking about multiple pst files, then Xobni will index them. If you have multiple Outlook profiles that you switch between, then Xobni will index the email associated with each profile.

Its one Outlook profile, with multiple Exchange accounts open in the one profile. No PST, just an OST.
Apparently its not as common as I'd anticipated, and not many people 'get' it.
Sorry if this isn't clear still :(
Okay...got it now...you're right, not as common ;)
I now have to say, "I'm not sure". I know that if you have multiple accounts (say an Exchange, GMail & Yahoo Mail) pulling in to Outlook, Xobni will index all of it.
If you have just one ost file, I think it should get it all...

So should I raise a support ticket/email support etc to get this answered? I'd really like to know if it does / doesn't do it - I do know that if you manually step through an external mailbox, then it will 'see' those emails - but that's going to take an awfully long time :)
Well, I'm starting to wonder now if there might be an issue because your mailbox is setup as offline (i.e. an ost)?

There is a good tool-ost viewer (http://www.recoverytoolbox.com/view_ost_files.html),allows to recover *.ost files, when Microsoft Exchange Server gets out of order and your data may be lost, can open damaged files, you can open your corrupted *.ost file and estimate data losses,can convert *.ost files to *.pst files, that can be easily opened by any email client, compatible with Microsoft Outlook,convert your *.ost to *.pst, but to extract a list of files in such formats, as: *.eml. *.vcf and *.txt.

You guys aren't getting what I've got configured.
One exchange server, multiple user accounts, one outlook profile, with multiple mailboxes open within the profile. The primary account plus an archive + mailing list mailbox are open (total 3 mail accounts).
I've seen this used fairly widely, instead of public folders, or so that out of office replies don't go to mailing lists.

Multiple Exchange Mailboxes: I have multiple Exchange Mailboxes opened in the same profile. It looks like it sync's only yoiur primary mailbox as my other mailboxes are not sync'd either.
For those of you who are wondering how we have multiple exchange mailboxes w/o multiple profiles:
Tools - Email Accounts - View/Change - More Settings - Advanced
You can add multiple Exchange mailboxes there.
I have the same setup as ihoskins and I would really love for xobni to index all mailboxes for my currect account.
Can this be done any way at all?

I've since found that Xobni will index the additional mailboxes, but only on a per-email basis - eg: you have to read/display the email in the preview window of Outlook for it to index the email.
I'd really love to see this happen automatically - what would be the best method to get this raised officially? Does Xobni read these forums? Can someone respond in an official capacity?

so far i have been able to set up multiple accounts that one person has access to and is able to email from them seperatly the issue comes in:
Account A (primary)
Account B, C, D (secondary)
when email is sent from secondary accounts it showes "on the behalf of" in the header of the email. In my environment I need to find a whay for my guys to be able to send from multiple accounts w/o having to open several different window (OWA), and for security reasons I can not set up POP accounts.
if you dont mind the header of the email it is possible. I am just getting started with this, so I am sure there are other ways I just have not found yet.

Yes, Xobni can index multiple mail accounts within the same Outlook profile. This is one of the cornerstones of Xobni.
For those of you who are saying that it's not working, you may need to go into the Xobni menu > Options > Indexing tab, and select the mailboxes and any sub-folders that you want indexed. You'll then need to run 'Index All Mail' to sync any changes.
If you don't see the additional mailboxes there, I suggest you try upgrading to V1.5, detailed in this thread (http://www.xobni.com/community/showthread.php?t=137&page=2). That should help clear up the problem.
One item of note: Xobni explicitly does not index "shared" mailboxes or public folders. So, if you're looking to index that, then that won't work. We're hoping to be able to eventually address this in a future version, but that won't be ready for some time.

I've got what I think is the same setup here. The receptionist has Outlook setup with both her mailbox (primary, the one she logs into) and the mailbox of one of our principals. I guess his would be considered shared, because he has given her permission to view and modify it and she has added it to her outlook. Unfortunately Xobni does not provide the option to index his mailbox from the Index tab of Options. This is too bad because his is really much more important than hers. Is this supposed to be a supported scenario (multiple e-mails) or is this the shared mailbox scenario that doesn't work?

Yes, you're describing the 'Shared Mailbox' scenario, which we don't support.
We have discussed trying to implement that, but it's been really problematic in the past and is something that 90% of Outlook users don't really use/want/need, so it's not really a high priority. I'm not saying that we couldn't work on it in the future, but I want to set the expectation that this isn't something that will be "fixed" anytime soon.
